Proposal Coordinator - German/ French/ English in Dublin, Ireland
The Proposal Coordinator is a critical role within the proposal service center acting as the key point of contact for the client’s bid team as well as the supporting service center team. The individual in this role must be a clear communicator, thrive in a fast paced environment, be comfortable working with firm deadlines, adept and managing multiple work streams and be calm under pressure.
Key Roles & Responsibilities Include:

Analyze new RFX requests for assessment and work assignment

Set up proposal files and shared communication areas

Maintain proposal schedule, action trackers and decision logs
-
Coordinate & schedule key meetings such as kick-off and review meetings with all necessary stakeholders. Coordinate facilities and other meeting resources, as appropriate.

Utilize and create templates SOPs
-
Contribute to process improvement and best practices library
-
Prepare the RFX requirements traceability matrix
-
Maintains configuration control

Facilitate the development of annotated proposal outline w/themes or storyboards

Facilitate development of proposal sections by writers
-
Provide editorial, layout and design recommendations
-
Support orals preparation, briefing slides, and presentation reviews and feedback
-
Facilitate delivery of the proposal on time
-
Identify content for reuse and insure curation into libraries, update information and recommend changes as arise
-
Collect and facilitate lesson learned sessions
-
Maintain status update reports
-
Facilitate issue escalations
Job Qualifications:

Knowledge of Shipley or other proposal processes
-
Technical writing and editing experience
-
Strong organizational capabilities
-
Advanced knowledge of word processing software, especially Microsoft Word

Knowledge of basic computerized graphics capabilities is highly desirable

Strong verbal and written communications

Team player

Grace under pressure – the ability to function effectively under stringent deadlines and resolve problems under pressure

Ability to delegate and follow-up with proposal writers

Knowledge of contracting, proposal development, and publications development and production is highly desirable

Keen eye for detail and skills in copy-editing, grammar, style, spelling and punctuation
