What will you do
Primary Purpose of this position is leading of the reception team, mobile, fleet and parking administrator, archiving coordinator
How will you do it
Head reception
- Managing reception- Scheduling work rosters, arranging part time workers in case of need (sick leaves, vacations, special events in BBC),
- Interviewing/Selection of new Reception Staff
- Operating several Shared Inboxes
- Supervising and providing appropriate training to the receptionists
- Ordering general office supplies and refreshment items/management of the reception storage
- Using SAP system – creating orders, budgets, providing training for other users
- Communicating with AP department/Purchasing and suppliers about any uncertainties about orders and prices, delivery conditions, design …
- Management of the Post Office Services and communication with Post office
- Managing building access system P2000
- Providing Insurance cards for travel insurance for employees
Mobile Administrator
- devices orders - creating and closing requests
- issuing new phone numbers or
- assigning phone number of former employees to new users
- coordinate device repairs
- Activation the roaming program
- Administrate mobile phone database
- Providing appropriate information to colleagues regarding to policy, order system, updates, invoices and cost of services, etc.
- Communication with provider- optimalization of processes and services
Fleet and parking administration
- Managing company parking spaces and providing them to colleagues according to internal rules and policies
- Administrating parking system
- Car providing to colleagues eligible for company car
- Handover company cars from leaving employees
- Assistance with ordering company car and explaining car policy
- Assist colleagues with insurance cases, fines, tickets, repairs, tire changes
- Communication for English speaking employees with repairs shop, change of tires
Archiving Coordinator
- Responsibility for archiving documents and contracts, communication with State archive and vendor
- coordination and guidance of employees
- Gather, scan and upload the documents and contract to the Sharepoint
Look up for contracts if requested
Other duties:
- Responsibility for signing the Leaving protocols in connection with the mobile and its accessories, cars with accessories, check the accessories, reception and FM accessories
- Dealing with complains
- Regular communication with vendors and AP helpdesk- optimalization of processes, helping providing info regarding to invoices
- Ad hoc requests
What we look for
Required
- English and Slovak – written and spoken is required
- Office Management/Receptionist working experience min 1 year
- MS Office
- Good communication and organization skills
- Time flexibility
- Problem solving skills
Preferred:
- Previous experience with leading team
- Driving license

The gross monthly salary for this position starts from 1100 up to 1600 EUR per month (final salary offer depends on seniority of candidate, salary might differ from range) and a monthly bonus that starts after your first 6 months. Please note this is a minimum salary and our compensation packages are based on your professional experience and qualifications.
