French speaking Office Coordinator

Permanent, Fulltime

Starting salary £29,000, benefits include Health & wellbeing programme as well as private medical insurance.

Based in London - Hybrid work

Possibility of traveling to Paris and Milan based offices

With previous experience in supporting accounting and HR activities, you will oversee the day-to day organisation of the office.

 

Main Duties:

  • Assist management team with bookkeeping and accounts payable responsibilities
  • Process invoices, liaise with creditors and suppliers, and process monthly pay runs
  • Assist in preparing P&L and cash flow statements, as well as fee estimates, budget tracking, and invoicing
  • Coordinate payroll matters and manage HR records including assisting with onboarding, skills development, answer HR queries and monitoring staff reviews.
  • Support in maintaining HR policies and procedures, ensuring compliance with H & S regulations
  • Maintain an organised office and handle day-to-day administrative tasks such as answering phones, receiving, and distributing post, and assisting staff with queries.
  • Develop administrative systems, including record management, data management, and filing.
  • Coordinate Quality Insurance for the UK office and oversee ISO audits
  • Collaborate with teams in Paris and Milan and travel to the overseas’ offices where required

 

Profile:

  • Fluent in English, with a working knowledge of French
  • Previous experience in similar role with a background in purchase ledger management
  • Strong Excel MS Word skills essential,
  • Experience using accounting and budget management software ideal
  • Background of working if creative or design environment would be beneficial.
  • Proactive, highly organised, and able to work autonomously with great attention to detail.
  • Strong communication skills
