Live Event Associate - French - Saint Julian's, Malta

What you will do:  

This role requires an experienced, take charge professional with ability to manage the department’s administration and logistics supporting various Event Managers in a busy and fast paced environment.   

The right candidate will assist with the coordination of multiple events spread across Europe with occasional event duties overlapping. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work evenings and weekends.

The event coordinator should have a love for special event management, provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with internal and external customers. 

Key Responsibilities:  

  • To work alongside Operations Manager and Tour managers under the guidance of the Senior Operations and performance manager in the planning and execution of events
  • To liaise with all members of the Live Events Team to order pre-approved merchandise, events items, marketing items, poker equipment, branding and any other assets as needed
  • Provide departmental organisation and administrative support including organising meetings, note-taking, collating data for the department, administrating SharePoint, management of suppliers
  • Assist with the organisational and administrative aspects of event specific projects both in the office and on-site at European events
  • Working with Studio to produce pre-approved branded materials
  • Build and maintain an asset management system for the Live Events Team
  • The days at events can be very long and hectic, and sometimes stressful. A strong constitution and calm demeanour under pressure are required for this position
  • Provide cover to Live Events individuals as needed
  • Attend live events throughout the year as required
  • Understand what it takes to make sure the event logistics work out and keep everything within the allocated budget
  • Maintaining a working knowledge of the complex needs of a wide variety of events across multiple markets
  • Assisting with the management of player’s activities during events

Who are we looking for:   

Essential:

  • Must be fluent in French & English (written/verbal communication skills)
  • Must be a “people person” who is confident with an outgoing and friendly personality
  • Excellent organisation skills, being detail-orientated and meticulous
  • Ability to innovate and think outside the box
  • Experiencing with asset management systems or inventory management
  • Excellent knowledge of MS Office products
  • Administration experience
  • Used to working in a busy and always changing environment
  • Passion for creating live events
  • Able to work long hours, evenings and weekends both in the Malta office and on-site at events

Desirable:

  • Experience working with online and brick-and-mortar poker is preferred
  • Strong knowledge and experience with PokerStars and “poker culture”
  • Knowledge of marketing and brand exposure
  • Additional languages are always an asset
  • Knowledge of iPOS, CROS, Confluence, Jira, Sharepoint
